AI tools for business are AI-powered apps that speed up writing, research, image and video creation, meeting transcription and connecting your business systems. A small business should start with one text assistant on a business plan (ChatGPT, Claude, Gemini or Copilot) and add other tools only for a specific task you want to speed up.

In brief:

  • Choose by task: writing, research, images, video, transcription, automation.
  • Start with one AI assistant on a business plan. As of October 2026, ChatGPT Business and Claude Team both start at $20 per user per month, billed annually.
  • For meeting notes and captions, check language support first.
  • Sensitive data belongs only in business plans where your content is not used to train models.
  • A person reviews every AI output. Models can state falsehoods with full confidence.

How to choose AI tools for business

The most common mistake is buying a tool and then looking for a use. Instead, list three to five recurring tasks that eat time (replies to enquiries, product descriptions, meeting minutes) and find a tool for each. What matters:

  • Language: writing quality and, for transcription, whether your language is supported.
  • Data protection: a business plan with user management and no training on your data.
  • Integrations: Google Workspace, Microsoft 365, your CRM or online store.
  • Price and ownership: cost per user, credits and who sets the tool up.

AI assistants for writing: ChatGPT, Claude, Gemini and Copilot

An AI assistant drafts emails, summarises contracts or outlines proposals. Differences are covered in ChatGPT vs Claude vs Gemini. For a business, the plan matters more (prices as of October 2026):

  • ChatGPT Business (formerly Team): user management, and OpenAI does not train on workspace data. $20 per user per month billed annually, $25 monthly, minimum 2 seats. Details in ChatGPT for business.
  • Claude Team by Anthropic: for teams of 2 to 150, single sign-on (SSO) and central admin, no training on your content by default. A standard seat costs $20 per month billed annually, $25 monthly.
  • Gemini in Google Workspace: in Gmail from Business Starter; in Docs, Sheets and Meet from Business Standard.
  • Microsoft 365 Copilot: Copilot Chat comes with business Microsoft 365 at no extra cost; Copilot inside Word, Excel and Outlook is the paid Copilot Business add-on (about $18–21 per user per month billed annually on the US price list).

If you already pay for Google Workspace or Microsoft 365, start with its built-in AI. A standalone ChatGPT or Claude pays off for long documents, data analysis and custom assistants.

An illustrative prompt for a fictional accounting firm: `You are an assistant at an accounting firm. From the attached client email, list the missing documents and write a polite reply of up to 120 words. Do not guess; if information is missing, say so.` A prompt has a role, task, input, format and constraints; more in how to write prompts.

Perplexity answers with links to sources, which suits market and competitor research. Pro costs $20 a month as of October 2026; companies can use Enterprise. ChatGPT, Claude and Gemini search the web too. Always check the sources.

Images and graphics

Image generators handle article illustrations or banner variants, but alter details in real product photos and logos. Tools and workflows are covered in AI image and video generation.

Video: OpusClip and short clips

OpusClip (also searched as Opus Clip or “opus ai”) takes a long video, such as a webinar or podcast, picks the strongest moments, crops them into short vertical clips for social media and adds captions. It saves hours of editing.

  • Prices as of October 2026: Free (60 credits a month, watermark), Starter $15 a month, Pro $29 a month or $14.50 a month billed annually.
  • Languages: captions in 20+ languages. Test your language on your own video first.
  • Don’t confuse it: Opus is also the name of a Claude model family from Anthropic, unrelated to OpusClip.

Meeting transcripts, captions and translation

Language support decides; test a real meeting recording first. As of October 2026:

  • Google Meet: Gemini’s Take notes for me supports English, French, German, Italian, Japanese, Korean, Portuguese and Spanish.
  • Microsoft Copilot: a longer list of prompt languages; check yours.
  • Beey by NEWTON Technologies: recordings and online meetings, captions and translation in 50+ languages, including Czech and Slovak; 30 minutes free.
  • DeepL: translation across many languages; on DeepL Pro, your texts are not used to train its models.

Automation and AI agents: Make, n8n and Manus AI

Make, Zapier and n8n connect apps (forms, CRM, email, invoicing) and can add an AI model to a step, for example to sort an enquiry and draft a reply. See the comparison n8n vs Zapier vs Make.

Manus AI is an agent that carries out multi-step tasks on its own: research, a slide deck or a simple website. Since December 2025 it has been part of Meta; the subscription is still sold via its app and website. It suits one-off tasks; recurring processes run more reliably as controlled automation. AI marketing: where AI in marketing saves time

AI marketing does not mean AI runs your campaigns. It means you get through routine work faster and keep more time for strategy. Where AI in marketing helps most:

  • Copy and analysis: post drafts, product descriptions, review summaries, always edited into your tone.
  • Repurposing: one webinar becomes an article, several posts and short videos.
  • Advertising: ad variants for Google Ads and Meta; budget decisions stay with you.

An illustrative example for a fictional coffee online store:

  1. 1Paste a table of coffees with their attributes (origin, roast, flavour notes) into the assistant.
  2. 2Prompt: `Write an 80–100 word product description for a specialty coffee store. Tone: factual and friendly. Use only the attributes provided; invent nothing.`
  3. 3A person checks the facts and edits the text.
  4. 4Turn the descriptions into three social posts and two ad variants. A person stays accountable for the claims.

Data security and the EU AI Act

  • Business plans: OpenAI does not train on ChatGPT Business data, Anthropic does not train on Team, Enterprise or API content, and Google Workspace does not use customer data for training without prior permission.
  • Personal accounts: ChatGPT Free and Plus let you opt out of training in settings; on Claude Free, Pro and Max, users choose in their privacy settings. Client personal data and internal documents do not belong in personal accounts.
  • EU AI Act: under Article 4, organisations using AI must take steps to ensure AI literacy among the people who work with it. The European Commission says this covers staff writing ad copy in ChatGPT: they should know risks such as hallucinations. The duty has applied since February 2025, with supervision from August 2026.
  • A one-page internal policy: approved tools, what must never be pasted in and who reviews outputs.

How to roll out AI tools in five steps

  1. 1Pick three recurring tasks and measure how much time they take today.
  2. 2Choose one assistant on a business plan, or the AI in Google Workspace or Microsoft 365.
  3. 3Prepare a sample prompt and an example of good output for each task.
  4. 4Run a four-week pilot with two or three people and track time saved and corrections needed.
  5. 5Expand, adjust or drop the tool based on results. Add specialised tools and automation only after that.

When to bring in a specialist

You don’t need a specialist for one assistant and a few prompts. Help makes sense when you want AI connected to your store, CRM or email, or an assistant built on your documents. Our agency uses Claude, ChatGPT and AI agents every day, and we deploy the same approach through our AI solutions for business. Describe the task you want to speed up via our contact form.

Frequently asked questions

Which AI tools are worth it for a small business?
For most small businesses, one general-purpose AI assistant on a business plan is worth it most, such as ChatGPT Business, Claude Team or the AI in Google Workspace or Microsoft 365. It covers emails, proposals, document summaries and web copy. Add specialised tools for video, transcription or automation only when you have a specific recurring task and know how much time it will save.
How much do AI tools for business cost?
As of October 2026, business plans of the major AI assistants usually cost $20–25 per user per month: ChatGPT Business and Claude Team are $20 billed annually or $25 monthly, both from two seats. Specialised tools have their own pricing, for example OpusClip Pro at $29 a month. Many tools offer a limited free version that is enough for testing.
What is Opus Clip?
Opus Clip (officially OpusClip) is an AI tool that automatically picks the most engaging moments from a long video, crops them into short vertical clips for social media and adds captions. It suits businesses that record webinars, podcasts or interviews. The free version includes 60 credits a month with a watermark; the Pro plan costs $29 a month as of October 2026.
What is Manus AI?
Manus AI is an AI agent that carries out multi-step tasks on its own, such as research, preparing a slide deck or a simple website. Since December 2025 it has been part of Meta, and the subscription is still sold through its app and website. It suits one-off tasks; recurring business processes run more reliably as controlled automation in tools like Make or n8n.
Is it safe to put company data into ChatGPT?
On a business plan, yes, with clear rules. In ChatGPT Business, OpenAI does not train on workspace data and an admin controls access. On free or Plus personal accounts, you need to turn off training in settings, and client personal data or internal documents should not go there. Always define what must never be pasted into AI and review outputs before sending them.
How can I use AI in marketing?
AI in marketing pays off most for routine work: drafting posts and ad copy, product descriptions, summarising reviews and repurposing one piece of content into several formats. Always edit outputs into your own tone and check the facts. Leave strategy, budgets and campaign evaluation to people; AI is an assistant there, not the decision-maker.
